Quality Administration Assistant

We are currently seeking to recruit someone with excellent computer skills and high attention to detail to join the Quality and Risk team within an administrative capacity.

As the Quality Administration Assistant you will maintain quality system registers and records and administer document control procedures for all corporate, operational and clinical documentation throughout Juniper.

You will generate reports from the electronic incident and feedback management system, assist with training and auditing, and monitoring continuous improvement activities.

This role will be located at Juniper Central in Balcatta.

Key Responsibilities of this role:

  1. Monitor the review of Juniper policies and procedures to ensure they are undertaken within prescribed timeframes and that they meet the established formatting policies.
  2. Distribute policies and procedures ensuring only the latest version of documents are made available to relevant staff.
  3. Ensure that all changes to existing policy and procedures are tracked and that Juniper users are informed of these changes.
  4. Electronic Incident Management System (EIMS) monitoring.
  5. Maintain registers and logs for all enterprise quality system processes e.g. Internal Audit log, Continuous Improvement register.
  6. Maintain quality, risk and compliance records e.g. Accreditation Reports and outcomes, internal audit records.
  7. Generate trending reports from these records. 
  8. Assist with the preparation of electronic and hardcopy training materials.
  9. Arrange the booking of training venues, catering and materials/equipment for training sessions. Record staff attendance and help facilitate at workshops as required.
  10. Provide basic instruction on quality system templates and processes to new staff as required.         

The Skills, Knowledge and Experience required:

  • Advanced Microsoft Word, and Intermediate level Excel and PowerPoint.
  • Demonstrated ability to learn new applications and effectively use established ones.
  • Very good attention to detail and the ability to maintain objectivity.
  • Developed written and oral communication skills with the ability to effectively communicate with both internal and external stakeholders.  
  • Ability to communicate with key stakeholders to problem solve and address issues with document and records management.  
  • Manage time effectively, efficiently and prioritise workload to meet deadlines.
  • Ability to work effectively within a team environment.
  • Previous experience in an aged care/hospital, or community services setting.
  • Experience in an administration assistant role.
  • Experience in document or records management – desirable.
  • Experience in preparing presentations and training materials - desirable.

Qualifications

Certificate III in Business Administration or equivalent - desirable.
